How we handle your information

Kleinfeld Hotel Blocks (kleinfeldhotelblocks.com) is operated by LM Media Worldwide, LLC ("we", "us"). We help couples, planners and organizations get hotel room blocks and group rates. This policy explains what personal information we collect, what we do with it, who we share it with, and the choices you have.

1. What we collect

What you give us.

When you ask us for hotel rates or a room block: your name and your partner's name, email, phone, home address, event or wedding date, venue, the dates you need rooms, how many rooms you expect, and anything you add in the comments.
When you sign up as a partner or affiliate: your name, business name, business email, phone and address, and a password for your account.
When you contact us or sign up for emails: your name, email address and message.

What we collect automatically. Like most websites, we record technical information when you visit: your IP address, browser and device type, the pages you view and how you arrived. We use cookies and similar technologies for this, and to keep you signed in. See section 5.

From partners. If a planner, venue or other partner refers you to us, we may receive your details from them, and we note who referred you.

2. How we use it

To find hotels for your event, request rates and room blocks on your behalf, and follow up with you about them.
To run partner and affiliate accounts, including crediting the partner who referred you.
To answer your questions and send the emails you asked for. You can unsubscribe from marketing emails at any time.
To understand how the website is used and make it better.
To protect the website and our users, for example by stopping spam and automated form submissions.
To meet our legal obligations.

3. Who we share it with

We do not sell your personal information. We share it only as follows.

Hotels and venues. To get you rates and hold rooms, we send hotels the details they need, such as your names, event dates, the number of rooms and your contact information. Some of these requests go through Cvent, an event-sourcing platform hotels use to receive and answer them. Once you book with a hotel, the hotel handles your information under its own privacy policy.
Our sister website. LM Media Worldwide, LLC also operates LM Media Worldwide (lmmediaworldwide.com). If your request is better handled there, we may pass it across so our team can help you.
The partner who referred you. If you came to us through a partner's link, that partner can see your request and its status in their partner account.
Service providers who work for us under contract:
- Amazon Web Services, which hosts the website, and Cloudflare, which protects it and delivers its pages.
- Twilio SendGrid, which sends our emails.
- Google, for website analytics (Google Analytics), advertising measurement (Google Ads), spam protection (reCAPTCHA), maps (Google Maps) and embedded videos (YouTube), and for showing our Google reviews.
When the law requires it, or to protect our rights, our users or others, and if our business is sold or merged, in which case the buyer would be bound by this policy.

4. Signing in with Google

Our team can sign in to our staff area with a Google account. When they do, Google tells us their name and email address so we can match it to their staff account. We do not receive their Google password and we do not access anything else in their Google account.

5. Cookies and tracking

We use cookies to keep you signed in and remember your settings, and analytics cookies from Google Analytics to count visits and see which pages are used. We also use Google Ads cookies to measure whether our advertising leads to inquiries. reCAPTCHA uses cookies and information about your device to tell people from bots.

You can block or delete cookies in your browser settings; parts of the site, such as signing in, may not work without them. You can opt out of Google Analytics with Google's browser add-on, and control ad personalization in your Google ad settings. Google's use of this data is covered by Google's privacy policy.

6. How long we keep it

We keep inquiry and account information for as long as we need it to help you, to handle future requests from you, and to meet our legal and accounting obligations. When we no longer need it, we delete it or remove what identifies you.

7. How we protect it

We use reasonable technical and organizational measures to protect your information, including encrypted connections (HTTPS) and limiting staff access to what each person needs. No system is completely secure, so please do not send us sensitive information such as payment card numbers through our forms.

8. Your choices and rights

You can ask us for a copy of the personal information we hold about you, and ask us to correct or delete it.
You can unsubscribe from marketing emails using the link in any of them, or by emailing us.
Depending on where you live, for example California or the European Union, you may have further rights under local law. We will honor them.

9. Children

Our services are for adults. We do not knowingly collect information from anyone under 16. If you believe a child has sent us their information, contact us and we will delete it.

10. Where your information is stored

We are based in the United States and store information on servers in the United States. If you contact us from another country, your information will be transferred to and handled in the United States.
